SASRA season without reconstructing the year in Excel
How Kenyan DT-SACCOs can stop reconstructing SASRA returns from spreadsheets — chart of accounts, audit trail, and a core that already holds the year.
SASRA — the Sacco Societies Regulatory Authority — does not ask deposit-taking SACCOs for a story. It asks for returns that reconcile to the books. Too many societies still spend November and December rebuilding those numbers from extracts, because the core never held a chart of accounts the finance manager trusts.
The real problem is not the template
Boards often buy a “SASRA module” and still fail the season. The module can only print what the ledger already knows. If loans, shares, and FOSA deposits were posted to suspense all year, no exporter will save you. Fix posting first. Reporting is a consequence.
What a usable return actually needs
- A chart of accounts mapped once, not reinvented each filing.
- Member, loan, and deposit products that post to the right accounts every day — not at month-end.
- An audit trail from teller to trial balance that an external auditor can walk.
- Branch and product cuts so you can explain a variance without opening twelve files.
DT and non-DT are not the same job
Deposit-taking SACCOs live under SASRA prudential rules, capital, and liquidity. Non-DT societies report to the Commissioner for Co-operative Development and still owe members a clean set of books. Do not buy a DT-shaped system if you are a 2,000-member BOSA shop — and do not buy a savings club tool if you take deposits. The regulator will notice; so will your auditor.
Start the year, not the filing week
The societies that file calmly are the ones that reconciled monthly. If you only look at the pack in SASRA season, you are doing archaeology. A core should give finance a draft pack they argue with in February, May, and August — so December is a check, not a reconstruction.
